FAQ
Questions people ask before they download.
What is Vaitly Meetings?
The core of Vaitly Voice Pro, in beta. When a call starts on Zoom, Microsoft Teams, Google Meet in the browser, WhatsApp, Slack, FaceTime, Webex, ChatGPT voice or Claude voice, Vaitly Voice records it in the background and transcribes it on your computer. No bot joins the call. Each meeting lands on a calendar, is searchable, and gets minutes, decisions and action items. Every Monday you get a pack of the week's meetings.
How does dictation work?
Click where the words should go, hold fn on a Mac (Right Ctrl on Windows, or your own shortcut), talk, and let go. Your speech is transcribed on your computer, SmartText adds punctuation and formats lists, and Vaitly Voice types the result into whatever app you are in. Free includes 1,000 words a week with no account; Pro is unlimited.
Do I need permission from IT or a Teams or Zoom admin?
No admin or tenant permission is needed. Vaitly Voice listens on your own computer, so nothing is installed in Teams or Zoom and nothing joins the call. Your organization's own recording policies still apply.
Do I have to tell people I'm transcribing the call?
Yes. Recording or transcribing other people can require their consent where you are. You are responsible for telling everyone on the call. Vaitly Voice asks you to confirm this before it will record calls.
Is my meeting audio uploaded?
No. Speech is transcribed on your Mac or PC, for meetings and dictation alike. Audio is never uploaded, and meeting audio is not saved at all. To write minutes, decisions and action items, and to answer questions across your meetings, the transcript text is sent to our server, which uses OpenAI. Requests are made with storage turned off; zero data retention is not in place.
Can I bring in a recording from my phone?
Yes. Record with Voice Memos or any recorder app, save the file to a folder in iCloud Drive or OneDrive, and Vaitly Voice picks it up on your computer and transcribes it there. For an in-person meeting, hit Record now. There is no phone app that records calls.
What does Pro cost?
$9.99 a month or $99 a year. Pro includes Vaitly Meetings, AI meeting summaries, unlimited dictation, Cloud Polish, Transforms and encrypted backup. US customers are charged in US dollars; sales tax is added at checkout where it applies. Elsewhere the card is charged in pounds sterling at the equivalent published price.
What is in the Free plan?
1,000 words of dictation a week, in any app, on one computer, with no account needed. Vaitly Meetings is part of Pro and not in Free.
I bought Private or a lifetime license. What happens to me?
You are upgraded to Pro at no charge. There is nothing to do: sign in with the same account and Pro is there, including Vaitly Meetings. Lifetime licenses are no longer sold to new customers.
What is Vaitly Voice, and is VV the same product?
Yes. Vaitly Voice is the full name; VV is the short name used on the UK site. One app, for Mac and Windows, from Vaitly Limited: meetings recorded and written up, and dictation that types wherever your cursor is.
What leaves my computer?
Audio never does. Dictation on Free stays on your computer unless you point a Transform at a cloud provider. In Pro, Cloud Polish sends the finished text of a dictation for editing, and meeting summaries and questions about your meetings send transcript text, in each case to our server, which uses OpenAI. Encrypted backup uploads items encrypted on your device first.
Will my meetings and dictations be backed up?
In Pro, yes. Every item is encrypted on your device before it is uploaded and travels over TLS 1.3, and it can be opened only by a machine signed into your account. Audio is not included. You can turn on a recovery key if you would rather Vaitly could not open it under any circumstances; a new machine then needs that key before your data appears on it.
Does dictation work without internet access?
Yes. The first run downloads the speech model, which needs a connection once. After that dictation works offline. Meeting summaries, Cloud Polish, backup and buying a plan need the network.
Which computers are supported?
Apple Silicon Macs (M1 or later) on macOS 14 Sonoma or newer, and 64-bit Windows PCs on Windows 10 22H2 or Windows 11. Intel Macs and Windows on ARM are not supported. The system requirements page lists permissions, disk space and microphone notes.
Do I need an account?
Not to dictate on Free. Download, allow the microphone (and Accessibility on a Mac), press your shortcut and talk. You only create an account to buy Pro, use Vaitly Meetings, or move a plan to another device.
What happens after 1,000 free words?
Dictation pauses until the allowance resets on Monday 00:00 UTC, or you upgrade to Pro for unlimited words. Nothing is deleted and nothing is charged.
How many devices can I activate?
Pro covers 5 active devices, in any mix of Macs and Windows PCs; Free covers 1. Swap a device from the Account tab.
How do I update Vaitly Voice?
Download the new version from this site and install it over the old one, on Mac or Windows. Your settings, vocabulary, meetings and history are kept.
What currency am I charged in?
US customers are charged in US dollars: $9.99 a month or $99 a year for Pro. Everywhere else the card is charged in pounds sterling at the equivalent published price by Vaitly Limited through Stripe; your bank converts at its own rate.
Can I use it for confidential or regulated work?
Speech is transcribed on your computer and audio is not uploaded, which many confidential workflows need. Pro's summaries send transcript text to our server and OpenAI. Vaitly Voice holds no security certifications and we do not make suitability decisions for regulated settings; read the security page and check it against your own policy.
Who makes Vaitly Voice?
Vaitly Limited, an independent AI software company registered in England and Wales. Card statements show Vaitly Limited.
